Going live: the checklist
Final checks before announcing the system to your team — self-service invites, email config, and the smoke-test runs.

Pre-flight checklist
Before telling the team to log in:
- All employees added — sanity-check the People > Employees count vs your headcount spreadsheet
- All positions linked — Organisation > Positions; everyone with an active contract should have a position
- All tax codes set — Payroll > Pay runs > New pay run > Calculate — if any employee shows tax=0 unexpectedly, they're missing a code
- Pension setup verified — eligible employees show up under the auto-enrolment queue
- First pay run finalised — download a payslip, eyeball that net + YTD + employer contribution footer all look right
- Public holidays correct — bookings around bank holidays skip the holiday day
- Onboarding template configured — Settings > Onboarding > add the tasks new starters should see (right-to-work check, equipment setup, etc.)
- Email provider configured — Settings > Email — connect your Microsoft 365 / Google Workspace / Resend so invites + leave-approval notifications actually send
Invite the team
Once the above is green:
- People > Employees.
- Select all → Bulk action > Send invite.
- Each employee receives their magic-link email.
- They set a password, log in, and land on My profile.
What employees see (and don't)
Linked employees see only My stuff by default. They can:
- View their profile
- Book leave (subject to approval)
- See and upload personal documents
- Download payslips
- Complete onboarding tasks
- Fill in reviews + feedback during cycles
They can't see other people's data, departments-level reports, or admin surfaces.
