Map your data sources and owners

Register the systems that hold personal data and assign an owner to each, with or without an account.

Map your data sources and owners

When a request comes in, someone has to search each system that might hold that person's data. The Data sources page is where you record those systems ahead of time, so collection can start the moment a request is verified.

Add a data source

For each system, record:

  • Name: what your team calls it (for example "Salesforce", "Warehouse orders database", "HR files").
  • Category: what kind of system it is. Pick from the suggestions or type your own.
  • Owner: the person responsible for searching it.

Add every system that holds customer or employee personal data. A typical retailer starts with the ecommerce platform, the CRM, the email marketing tool, customer support, and HR.

Two kinds of owner

An owner can be:

  • A team member: someone with a Blankitt Privacy account. Their tasks appear in My tasks when they sign in.
  • A contact: just a name and an email address. No account, no invite, no seat. When a task is routed to them they receive an email with a secure link to a simple page where they can upload the extract and mark the task complete. This is the right choice for the IT manager or agency contact who touches one request a quarter.

You can change an owner at any time, and switch between the two kinds.

Why this matters

Requests are only as fast as your slowest system search. With owners mapped, Blankitt Privacy can create and route collection tasks automatically the moment a request is verified, which is what the next chapter sets up.
