Data sources and owners
The Data sources page is your map of where personal data lives: every system your organisation runs that might need searching when a request arrives. Time spent here is repaid on every single request.
What to register
Add each system that holds customer or employee personal data:
- Name: what your team calls it.
- Category: what kind of system it is (CRM, ecommerce, support desk, HR, analytics, and so on). Pick from the suggestions or type your own.
- Owner: the person who can actually search it.
If your organisation uses other Blankitt products, you can also mark a source as connected to one of them.
Two kinds of owner
Team members have Blankitt Privacy accounts. Tasks routed to them appear in My tasks, and they work inside the console.
Contacts are just a name and an email address. No account, no invite, no licence seat. When a task is routed to a contact owner:
- They receive an email with a secure, single-purpose link.
- The link opens a simple task page showing what's needed and the deadline, and nothing about the requester beyond the reference.
- They can upload the extract (up to 25 MB per file) and mark the task complete, with an optional note like "no records held".
- If the task goes quiet, automatic reminders re-send a fresh link.
Contact owners are the right choice for people outside the privacy team: the IT manager who owns the warehouse database, the agency that runs your email platform. They do their bit in two minutes without ever learning a new tool.
Keep it current
Review the list when systems are added or retired, and when people change roles. A task routed to someone who left six months ago is how deadlines get missed.
