Reviewing vacant positions

Organisation > Positions > Vacancies tab. Lists all positions with status=open, filterable by department + budget year. Each row shows whether a job is open against it.

The Vacancies view

  1. Organisation > Positions.
  2. Click Vacancies tab.

The view lists every position with status='open', grouped by department, with:

  • Position title + grade
  • Department
  • Reports to (the parent position's title)
  • Salary band
  • Job linked — yes/no (whether a recruitment job has been created against this seat)
  • Open since — days vacant

Filters

  • Department — narrow to one team
  • Budget year — e.g. show only 2026 positions
  • Has open job — filter to "no" to find seats that need a job kicked off

What this powers

  • Recruiting urgency — sort by Open since to prioritise long-vacant seats
  • Budget pressure — count vacancies by department for headcount-plan vs reality
  • Backfill detection — recently-vacated positions (e.g. an employee left last week with keep_position_open=true) appear here ready for recruitment to target

Linking a job

Click a row > Create job to open a new recruitment job pre-linked to this position. Accepting an offer against that job will then fill the position automatically.
