Uploading a document for an employee

Upload contracts, ID copies, certifications, etc. to an employee's document vault. Documents are stored encrypted in R2 and only the owner, their manager, and HR admins can read them.

Upload an employee document

  1. Open the employee detail page.
  2. Click the Documents tab.
  3. Click Upload document.
  4. Pick the file from your machine.
  5. Set the type (contract, ID, certification, right_to_work, dbs, custom).
  6. Add a display name if the filename isn't self-explanatory.
  7. Optional: set an expiry date (for visas, DBS checks, certifications) — the Documents page surfaces expiring-soon items.
  8. Click Upload.

What the employee sees

Once uploaded, the employee can see and download the document from My documents (if they're linked to self-service). If the document is private (e.g. an internal write-up), uncheck Visible to employee.

Right-to-work and ID

For UK compliance, every employee should have a right-to-work document on file before their start date. The expiring-soon filter on the Documents page highlights any that are about to lapse (visas in particular).
