How do I terminate an employee?
Open the employee detail page > Offboarding tab > Terminate. Set the last day, reason, and whether the position stays open. The system computes accrued holiday and statutory redundancy automatically.

Terminate an employee
- Open the employee detail page.
- Click the Offboarding tab.
- Click Terminate employee.
- Fill in:
- Termination date — the date employment ends
- Last day worked — if different (e.g. garden leave)
- Reason — resignation, dismissal, redundancy, end of fixed term, retirement, mutual agreement
- Voluntary — toggle for resignation vs employer-initiated
- Keep position open — checked = position becomes vacant (open) for backfill, unchecked = position is closed (true headcount reduction)
- Click Confirm.
What happens automatically
- The employee's
statusflips to terminated with the end date stamped. - The active contract is closed (effective_to = termination date).
- Accrued holiday is calculated based on contract terms + leave taken — shown on the offboarding tab so you can pay it in the final pay run.
- For redundancy reasons, statutory redundancy pay is calculated (UK rules: age × years × weekly cap, capped at 20 years).
- An offboarding checklist is created from the template — equipment return, access removal, exit interview, etc.
- The linked position is either re-opened (for backfill recruitment) or closed.
Reversing a termination
If you terminated by mistake, contact support — there's no UI undo because reversing changes the contract close date + payroll lines.
