Creating a leave policy

Define a leave type (Annual, Sick, Unpaid, Sabbatical, etc.) with allowance, accrual method, and carry-over rules. Policies apply tenant-wide and per-employee balances inherit from them.

Create a leave policy

  1. Open Settings > Leave policies.
  2. Click Add policy.
  3. Fill in:

Fields

  • Name — e.g. Annual leave, Sick leave, Unpaid leave
  • Default allowance — annual entitlement in days (e.g. 25). Set 0 for unlimited.
  • Accrual methodnone (full balance from day 1), monthly (1/12 per month), pro_rated (based on contract hours)
  • Carry-over allowed — max days that roll into next year
  • Statutory type (optional) — link to a UK statutory type if this is a maternity/paternity/sick policy
  • Paid — yes/no (drives whether the policy creates a payroll line)

After creating

Existing employees automatically get a balance row for the new policy (allowance pro-rated for their start date). New employees get one on hire.

Editing

Editing a policy affects future balances but doesn't retro-debit existing ones. If you change the allowance from 25 to 28 mid-year, you need to manually credit each employee 3 days (or let the new entitlement apply from next year's reset).
